5 Aliso Viejo, CA Aliso Viejo, CA Full-time Full-time $65,447 - $85,394 a year $65,447 - $85,394 a year 1 day ago 1 day ago 1 day ago Under the direction of the Executive Director and other central office administrators, the Student Information System Specialist performs a variety of technical clerical duties involved in the input, maintenance, and evaluation of school and student information, attendance, and other required data; integrates the Student Information System (Aeries) with external and internal databases and applications; performs specialized technical tasks in attendance accounting and related assigned duties; confers with County offices and school site administrators to maintain sound attendance reporting and perform other related functions as directed.
Primary Responsibilities include, but are not limited to:
Ensuring mandated and requested reports related to student and school data and assigned activities are completed according to established timelines; assuring accuracy and completeness of input and output data; extracting user information, student information, and data and uploading information according to established procedures.
Gathering data and information and assuming responsibility for replying to various requests and inquiries for information; researching assigned topics.
Performing a variety of clerical and administrative assistant duties in support of assigned programs and functions; processing and evaluating a variety of forms, letters, and applications as assigned; establishing and maintaining filing systems.
Utilizing a computer to input data, create queries, generate links to data, and produce a variety of requested computerized lists, records, and reports; updating information and maintaining a variety of automated records, reports, and files related to student information; assuring accuracy of input data.
Developing, formatting, and maintaining spreadsheets and a variety of specialized forms, manuals, and reports as assigned; generating specialized student rosters as assigned; generating specialized custom reports.
Compiling information for various federal, state, and organizational reports as necessary, including complex statistical, financial, and longitudinal reports and presentations; identifying and resolving a variety of data discrepancies.
Transforming data through programming routines; monitoring integrity of assigned databases.
Coordinating, monitoring, and auditing the California Longitudinal Achievement Data System (CALPADS) reporting.
Maintaining the Aeries database; preparing and submitting all reports necessary for CALPADS reporting.
Understanding, analyzing, evaluating, and validating CALPADS reports and submissions; being responsible for all accurate and timely CALPADS submissions and reporting.
Preparing files, attendance, and enrollment reports for the charter school for submission at county and state levels; maintaining certified state reports.
Compiling and issuing annual attendance calendar; managing the receipt, audit, and balancing of reports from school attendance offices.
Developing and providing in-service training and assistance to school attendance personnel regarding procedures, reports, and changes.
Editing and compiling attendance and enrollment reports by school, program, grade level, and school month.

Informing both charter administration and appropriate school site personnel of new laws and legislation concerning attendance and funding, as required.
Assisting in computing cohort projections and annual percentage of actual attendance.
Assisting in providing statistical data used for budgetary decision-making and preparation of financial reports.
Overseeing, coordinating, and maintaining appropriate attendance activities, financial and statistical data and information.
Preparing, maintaining, and accounting for average daily attendance (ADA) and other attendance records and reports for submittal to local and state agencies per established timelines.
Reviewing attendance records and reports for accuracy and compliance with applicable laws, codes, rules, and regulations; ensuring accuracy of input and output data.
Managing the receipt, audit, and balancing of reports from school attendance offices, including nonpublic schools; implementing and participating in periodic internal audits of attendance record-keeping.
Coordinating all functions related to student admission through an automated lottery system including but not limited to assisting with Community Outreach to solicit enrollment; maintaining, verifying compliance, and monitoring the database of all lottery applicants.
Performing other duties as assigned.
